Every family in admission
knows where they stand.
Family Portal gives each family one permanent page: their progress, the documents still missing and a direct line to your admissions team. You stop answering “what happens next?” one email at a time.
Admission runs on email, and families feel it.
- Today · 01
“Where are we?”, every week
Families wait in silence between steps, so they write or call to ask what is happening. Your team answers the same question again and again.
- Today · 02
A new link in every chase email
Missing documents are chased with a fresh upload link each time, and a family has to dig through their inbox to find the right one.
- Today · 03
Replies that never reach the file
A parent answers the admissions email and it lands in a shared mailbox, not on their record. Whoever took the call next week has no idea.
One link. A family that is never left guessing.
Progress they can see
A simple tracker shows each family what is done, what is current and what is still to come, with a note from you about the next step.
One page to bookmark
The same link works for the whole admission. Families upload what is missing from their phone, right on the page.
Every message on the lead
Families write from their portal. You reply from the lead or the inbox, and the conversation stays on their record.
From first admission step to a confirmed place.
- 01
Start the admission
Families who only enquired get no page. When a family is ready, press Start admission on their lead. It also starts by itself when the outcome is Will sign or Signed, the document checklist is activated, the admission form is submitted or a contract is sent.
- 02
The family gets their link
The portal link is emailed in your school's branding as soon as the admission starts, or when you choose to send it. No account or password is needed.
- 03
They follow it and talk to you
The tracker moves as the form, documents and contract are completed. Families message the team from the page, and you reply from the lead or the Family Portal inbox, where unread conversations come first.
The inbox: unread conversations first, one click to the lead. - 04
Updates go out on their own
Families are emailed when a document needs another look, when all documents are in and when their place is confirmed. Your replies are bundled into one email. You choose which updates are on.

Family Portal.
How is Family Portal priced?
One flat price per school: 99 zł (€25) a month, however many families are in admission and however many staff use it. The price is a launch placeholder and will be confirmed before we ask you to subscribe.
Do we need other modules?
No. Family Portal runs on its own and sits on top of the admissions CRM you already use. The portal shows an admission form, documents and a contract step only if your school uses them.
Does every enquiry get a portal page?
No. Only families who are in admission do. Someone who has just enquired gets no page and only the emails you already send. You decide when a family moves across, or it happens by itself at clear milestones such as a submitted admission form.
Who can see a family's page and messages?
The family sees only their own page, through their private link, and it never shows your notes, stages or other families. Staff see messages according to five permissions: read, start admission, send, message and manage. Changes are in the audit log.
Can a family reply by email instead?
Not today. Messaging happens on the portal page, and the emails ask families to reply there. Each family also has one link, so a second parent isn't given a separate one yet, though they can be copied on emails.
What if a link is shared, or a family is lost?
Revoke the link, or send a new one, and the old one stops working at once. A link also stops when the lead is marked lost or deleted, or when the module is switched off. Messages are kept, and a re-subscribe restores everything.
