Every dotacja number you can explain,
down to the last pupil.
Polish Compliance freezes your roll each month, prepares the dotacja (subsidy) declaration and SIO updates from it, and reminds you before each deadline. Nothing is filed until your staff approve it.
The subsidy lives in one person's head.
- Today · 01
A headcount rebuilt every month
Someone works out the number from the class lists, the leavers and memory, keys it into the authority's form, prints it and takes it round by hand.
- Today · 02
SIO updated when someone remembers
Every new pupil, change and leaver has to reach SIO, the national student register. Without a running list, some changes slip through.
- Today · 03
An audit at short notice
When the Wydział Edukacji (the education department) asks how a past month's number was reached, the answer is in a paper folder, and it doesn't quite add up.
One roll, one record, and a person signing off.
The declaration built from your roll
At the start of each month FirstDay freezes enrolment into a snapshot and builds the declaration from it, with pupils from other gminy (municipalities) listed separately.
SIO changes collected as they happen
Each new pupil, change and leaver joins an SIO queue. Each day's changes are bundled into one update, with an export of exactly what to enter in SIO.
A trail you can show an auditor
Every filing keeps its snapshot, who approved it, when it was delivered and the stamped copy. The overview flags any gap between your live headcount and what was declared.
From the school profile to the stamped copy.
- 01
Set up the school once
Enter the school's legal details, your authority's deadline and how your year groups map to Polish classes. Each student gains a Compliance section for residence, SEN documents and how they learn Polish.
- 02
Close the gaps
Compliance → Students shows how complete each pupil's details are and exactly what is missing. Gaps never stop a declaration being prepared, but they appear on it as warnings to fix first.
Exactly what is missing, pupil by pupil, before anything is approved. - 03
Review and approve
When a declaration is ready, everyone who can submit is notified. Check the totals and warnings, regenerate after a correction, then approve. Reminders arrive 7, 3 and 1 days before the deadline and on the day.
- 04
File it and record it
Print the PDF, have it stamped and signed and deliver it as you do today. Mark it delivered, upload the stamped copy, and mark it acknowledged when the authority confirms.

Polish Compliance.
Does it send the declaration to the authority or to SIO?
Not today. None of the authority systems (ODPN, Vulcan Dotacja) or SIO are connected yet, so approving a filing records it rather than sending it. You print, stamp and deliver the declaration as now and enter SIO changes from the export, and FirstDay keeps the record of each step. The module is marked beta in the app.
Can anything be filed without our approval?
No. FirstDay prepares filings on a schedule, but every declaration and SIO update waits for someone with the submit permission to review and approve it. An approval can be withdrawn while it is still in the queue.
Does it use our authority's own form?
For Wrocław, yes: it prints Załącznik nr 3 line by line, one declaration per institution, plus the name list of pre-school children from outside the city. Other authorities get a generic layout: a main sheet and one sheet per other gmina. Kraków's own form is not available yet.
How is it priced?
One flat price per school: 199 zł (€49) a month, whatever your headcount and however many institutions you declare for. If you cancel, nothing is deleted: snapshots, filings and stamped copies are kept as your audit record.
Do we need other modules?
No. It works from the class lists and resignations already in FirstDay. A leaver comes off the count from the date their resignation takes effect.
Who can see PESEL numbers and SEN details?
The Compliance pages have their own five permissions, and the built-in Member role gets none of them. PESEL numbers are masked in lists unless a role may see full student details, and every change to a compliance profile is recorded in the audit trail.
