Visitor Management · Operations & safety

Every visitor declared
before they reach the door.

Visitor Management sends each visitor a short declaration to complete before they arrive, issues a QR pass, and gives reception one screen for who is expected, who is on site and who has left.

Reception sees who is expected and who has already declared.

A signing-in book is not a safeguarding record.

  1. Today · 01

A book on the front desk

Names and times in handwriting nobody can read, on a page every later visitor can see. Finding last term's contractor means leafing back through months.

  2. Today · 02

    Safeguarding questions at the door

Reception asks the questions while a queue forms behind the visitor, or the questions get skipped because the visitor is late for a meeting.

  3. Today · 03

Who is still in the building?

When the alarm goes, the signing-in book is still on the desk inside. Nobody is sure whether the plumber left at lunchtime.

Know who is coming, who is here, and who has gone.

  1. A record for every visit

Name, purpose, host, badge number and the times in and out, in a visit log you can search and export as a CSV.

  2. Declared before they arrive

Visitors answer the safeguarding questions, add an emergency contact and give GDPR consent on their own phone. Reception just scans the pass.

  3. An on-site list you can trust

A live list of everyone signed in, with an evacuation roll call. Anyone left signed in from an earlier day is checked out by a nightly sweep.

From invitation to check-out.

  1. 01

Invite them, or let them register

Invite a visitor by email from the reception desk, or publish an online registration form as a link or an embed on your own website.

  2. 02

    They declare before they arrive

The visitor fills in their details, the safeguarding questions and GDPR consent, and can add a photo. Their QR pass arrives by email with a 9-digit backup code.

The declaration is done on the visitor's phone, before they set off.
  3. 03

    Scan them in at reception

Scan the pass or type the backup code, check them in and print a badge. Walk-ins are registered on the spot, with a safeguarding acknowledgement and GDPR consent.

  4. 04

Check out and keep the record

Check visitors out as they leave. Each night FirstDay checks out anyone left from an earlier day, marks no-shows and expires unused invitations.

Questions about
Visitor Management.

How is it priced?

One flat price per school: 199 zł (€50) a month, whatever your headcount. There is no charge per visitor, per pass or per badge.

Do we need other modules?

No. It works on its own, with its own evacuation roll call. If you also run Fire Drill, everyone checked in when a drill starts appears as a Visitors group on its live board, and this roll call becomes a printable backup.

Who can see the safeguarding answers?

Only staff whose role includes access to Visitors, with separate permissions to create, update and delete. Changes are written to the audit log. Set a retention window and the nightly sweep clears contact details, health answers and photos from finished visits older than that, while the visit itself stays in the log.

Do visitors need an app or an account?

No. The declaration opens from a link in the browser, the pass arrives by email, and visitors can download or email themselves a PDF copy of what they declared.

Can reception work from a phone?

Yes. The FirstDay mobile app shows who is expected and on site, registers walk-ins, and checks visitors in or out with the code from their pass.

Will the host be told when their visitor arrives?

Not automatically today. The host is named on the invitation and on the visit record, so reception knows who to call.
